How to print to PDF from any app: Windows, Mac and phones
Published 2026-09-07 · Tutorial
You do not need special software to make a PDF: every desktop, phone and tablet ships with a hidden print-to-PDF feature built in. Whatever app you are in, the print dialog can save the page as a PDF instead of sending it to a printer. Here is how to use it on Windows, Mac, Android and iPhone, and what to do with the file once you have it.
Print to PDF is a hidden built-in
Windows, macOS, Android and iOS all include a virtual printer that writes a PDF file instead of paper. When you open the print dialog and pick a destination, one of the options is Save as PDF (the label varies a little by system). Choose it and the current document, web page, image or email is exported as a clean PDF you can store or share. It is free, needs no account, and every piece of software can use it, which is the whole point.
Windows: pick Microsoft Print to PDF
On Windows, press Ctrl+P in any app, then look in the destination dropdown for Microsoft Print to PDF. Windows 10 and 11 list it by default; if you do not see it, turn it on in the printer settings. Click Save and choose a location, and the document becomes a PDF. When the result is a series of pages you want as one file, merge the PDFs to pull them together in a single document.
Mac: use the Save as PDF destination
On a Mac, press Cmd+P and change the destination at the bottom of the dialog from the default printer to Save as PDF, then hit Save. macOS then asks where to keep the file. Websites, notes, spreadsheets and emails all export this way. If the saved page comes out sideways or with an odd layout, rotate the PDF or remove the pages you do not need before sharing.
Android and iPhone: print to save on mobile
Phones do the same trick. In Android apps, open the print option (often a menu overflow or a share sheet) and choose Save as PDF, or in the printer list pick Save as PDF. On an iPhone, tap share and select Print, then choose Save as PDF from the printer options and confirm in the preview. The exported file lands in your documents or downloads folder, ready to send.
Tidy up the file after exporting
A print-to-PDF file is often larger than it needs to be, because it keeps every image and font embedded. If the PDF is slow to email or an upload form rejects it, compress the PDF to bring the size down while keeping the text readable. And if you only needed a portion of a long page, split the PDF to keep just the relevant pages. You keep the exact look of the original, in a file you control.
When the print dialog is not enough
Print to PDF is perfect for anything you can display on screen, but it captures what you see, not the text behind a scan or an image. If your source is a photo of a document and you want the words back, print it to PDF first, then extract the text from the scanned PDF. For documents you must type or paste fresh, the text to PDF tool builds a clean page from scratch.
